Wise Owl Wellness
Revised August 2026
Wise Owl WellnessHealth, Safety & Participation Policy
Wise Owl Wellness is committed to providing classes, private sessions, workshops, trainings, and wellness experiences in an environment that supports safety, personal awareness, informed participation, and respect for individual limits.
Every person's body, health history, abilities, and needs are different. While our instructors and practitioners will provide guidance and appropriate modifications whenever possible, participants are ultimately responsible for communicating relevant health information and making choices that support their own well-being.
You are always encouraged to listen to your body. You may modify, pause, decline, or stop any practice at any time.
Participant Responsibility
Participation in yoga, movement, somatic practices, breathwork, meditation, Thai bodywork, assisted stretching, workshops, trainings, and other wellness activities may involve physical movement, changes in position, stretching, balance, touch, or other activities that may not be appropriate for every individual.
Before participating, you are responsible for considering whether the activity is appropriate for you.
Participants are expected to:
Health Information & Disclosure
Participants are responsible for informing their instructor or practitioner of relevant health information that may affect safe participation.
This may include, but is not limited to:
Changes in Your Health
Health information provided at registration or during an initial intake is not assumed to remain current indefinitely.
Participants are responsible for informing Wise Owl Wellness of meaningful changes in their health before participating.
For example, if you have experienced a new injury, surgery, pregnancy, medical procedure, significant change in symptoms, new physical restriction, or other health change since your previous visit, please tell your instructor or practitioner before beginning.
Pregnancy & Postpartum Participation
Participants who are pregnant, recently postpartum, or recovering from pregnancy-related procedures should inform the instructor or practitioner before participating. Some positions, movements, breathing practices, stretches, pressure techniques, heat-related practices, or hands-on techniques may need to be modified or avoided. When appropriate, Wise Owl Wellness may recommend obtaining guidance or clearance from your qualified healthcare provider before participating.
Recent Surgery, Procedures & Injuries
If you have recently undergone surgery, received an injection or medical procedure, sustained an injury, experienced a fracture, or are actively recovering from a significant medical event, please inform your instructor or practitioner.
Depending on the circumstances, we may:
Pain vs. Sensation
Some movement, stretching, yoga, somatic, and bodywork practices may create sensations such as muscular effort, gentle stretching, pressure, warmth, or mild intensity.
Sharp, shooting, electrical, burning, sudden, or otherwise concerning pain is not something you should be encouraged to push through.
If something hurts or does not feel right: Stop. Adjust. Communicate.
You are encouraged to tell your instructor or practitioner immediately rather than waiting until the activity or session has ended.
Your feedback helps us modify the experience appropriately.
You Are the Authority on Your Body
An instructor or practitioner cannot feel what you are feeling.
Even when a movement, position, stretch, or technique is generally considered appropriate, your individual experience matters.
You always have the right to:
Hands-On Services & Assisted Practices
Some Wise Owl Wellness offerings may include physical touch, assisted stretching, Thai bodywork, hands-on yoga assists, positioning, partner exercises, or other forms of physical guidance.
Consent is ongoing throughout these practices.
Participants should immediately communicate if:
Participation in Group Classes
In a group environment, instructors cannot continuously monitor every participant's physical condition or experience.
Participants are responsible for making appropriate choices for themselves even when the instructor offers a movement or technique to the entire group.
An instructor's invitation is an option—not an obligation.
If something being offered is not appropriate for you, you are encouraged to modify, rest, choose another movement, or simply observe.
Trainings & Partner Practice
Participants in professional trainings and certification programs have an additional responsibility to protect both themselves and their practice partners.
During partner or hands-on practice, participants must:
Safety and skill development take priority over intensity, depth, range of motion, or completing a technique exactly as demonstrated.
Intoxication & Impairment
Participants must be able to safely participate and provide meaningful consent. Wise Owl Wellness may refuse or discontinue participation when a participant appears impaired by alcohol, cannabis, illegal substances, misused medication, or another substance in a way that could compromise judgment, coordination, communication, or safety.
Illness & Communicable Conditions
Please do not attend an in-person session, class, workshop, or training when you are experiencing a contagious illness or symptoms that could reasonably place others at risk. If you become ill, please communicate with Wise Owl Wellness as soon as possible.
Any cancellation, credit, or refund will be handled according to the applicable Wise Owl Wellness cancellation and refund policies.
Hydration, Nutrition & Environmental Conditions
Participants are encouraged to arrive appropriately hydrated and nourished for the activity in which they are participating.
Heat, physical exertion, altitude, prolonged standing, fasting, dehydration, or certain medications may affect how someone responds to movement and wellness practices. If you begin to feel lightheaded, weak, overheated, nauseated, or otherwise unwell, stop participating and inform the instructor or practitioner.
When Medical Guidance May Be Appropriate
Wise Owl Wellness instructors and practitioners do not diagnose medical conditions unless an individual practitioner is separately licensed and legally authorized to do so within that professional role. If you have questions about whether a particular activity is medically appropriate for you, you should consult an appropriately qualified healthcare professional.
Wise Owl Wellness may recommend medical clearance before participation when there is a reasonable concern about whether an activity can be performed safely.
Right to Modify or Decline a Service
Wise Owl Wellness reserves the right to modify, postpone, discontinue, or decline a technique, activity, or service when an instructor or practitioner reasonably believes proceeding could create an unnecessary safety risk.
This may include situations involving:
Emergencies
If a participant experiences a medical emergency or significant health event during a Wise Owl Wellness activity, instructors or practitioners may take reasonable steps to obtain emergency assistance. This may include contacting an emergency contact or calling emergency medical services when circumstances reasonably warrant doing so. Participants should provide accurate and current emergency contact information when requested.
No Guarantee of Results
Individual responses to wellness practices vary. Participation in a class, session, workshop, training, or wellness service does not guarantee a particular physical, emotional, therapeutic, or health outcome. Participants should communicate concerns and make decisions based on their own experience and, when appropriate, guidance from qualified healthcare professionals.
Communication Is Part of Safety
Our instructors and practitioners want to support you, but we cannot respond to information we do not have.
Please communicate.

They are not represented as medical or psychological treatments and should not be used as substitutes for appropriate healthcare. Participants with sound sensitivities, hearing concerns, neurological conditions, implanted medical devices, or other concerns should communicate with the facilitator and consult an appropriate healthcare professional when necessary.
Wellness & Educational Information
Information shared during classes, workshops, trainings, social media content, handouts, newsletters, presentations, conversations, or other Wise Owl Wellness educational materials is provided for general wellness and educational purposes.
It should not be interpreted as individualized:
Licensed Professionals & Collaborative Services
Wise Owl Wellness may occasionally host or collaborate with professionals who hold licenses in healthcare or other regulated professions. When a licensed professional provides a service, that professional is responsible for clearly identifying the nature of the service and practicing within the scope of their applicable professional license. The presence of a licensed professional at Wise Owl Wellness does not convert every Wise Owl Wellness service into licensed healthcare. Each service should be understood according to the credentials and scope of practice of the individual actually providing it.
Referrals & Professional Boundaries
There may be circumstances in which an instructor or practitioner determines that a participant's needs appear to fall outside their education, training, professional role, or scope of practice.
In those situations, Wise Owl Wellness may:
Your Healthcare Decisions Remain Yours
Participants are responsible for making informed decisions about their healthcare.
If you have a diagnosed medical condition, significant injury, pregnancy, recent surgery or procedure, unexplained pain, new symptoms, or concerns about whether a Wise Owl Wellness activity is appropriate for you, consult an appropriately qualified healthcare professional. Participation in a wellness service does not replace an existing relationship with your physician, physical therapist, psychotherapist, psychiatrist, chiropractor, or other licensed healthcare provider.
Emergencies
Wise Owl Wellness services are not emergency medical or mental health services.
If a participant experiences an apparent emergency during an in-person Wise Owl Wellness activity, reasonable steps may be taken to obtain emergency assistance. Wellness practitioners should not be relied upon to provide emergency medical or psychiatric care unless they are independently qualified and authorized to provide such care.
No Promise to Cure or Treat
Wise Owl Wellness does not promise that participation in any service will cure, prevent, diagnose, or treat a medical or psychological condition. People may experience benefits from wellness practices, but individual experiences and outcomes vary.
Testimonials, personal experiences, educational discussions, or descriptions of potential benefits should not be interpreted as guarantees of results.
Participant Communication
Your instructor or practitioner can best support you when you communicate openly.
Please let us know when:

We do not diagnose:
- Injuries

- Musculoskeletal conditions

- Causes of pain or physical symptoms
If you are experiencing persistent, unexplained, severe, or concerning symptoms, you should seek evaluation from an appropriately qualified healthcare professional.
We Do Not Prescribe Medical Treatment
Wise Owl Wellness practitioners do not prescribe medication, discontinue medication, prescribe medical treatment, or advise participants to disregard recommendations made by their licensed healthcare providers. You should not discontinue or modify medication, medical treatment, physical therapy, psychotherapy, or another prescribed healthcare plan based solely on information received during a Wise Owl Wellness service, class, training, or educational program. Questions about medication or medical treatment should be directed to the qualified professional responsible for your care.
Yoga & Movement Practices
Yoga, stretching, mobility, restorative practices, and other movement-based offerings are intended to support movement awareness, flexibility, strength, relaxation, balance, and general well-being. Yoga instruction is not physical therapy, medical rehabilitation, chiropractic treatment, or medical care unless an appropriately licensed professional is separately providing those services within their licensed scope of practice. An instructor may provide modifications, props, positioning suggestions, or alternative movements to help participants practice more comfortably. These modifications are not intended to diagnose or treat an injury or medical condition.
Somatic Practices
Wise Owl Wellness may offer somatic movement, body-awareness exercises, grounding practices, nervous-system education, mindfulness, breath awareness, and other body-centered wellness techniques. The word "somatic" simply refers to practices involving awareness and experience of the body. Unless specifically provided by an appropriately licensed mental health or healthcare professional within that professional scope, Wise Owl Wellness somatic services are educational and wellness-based practices and are not psychotherapy, trauma therapy, mental health treatment, physical therapy, or medical treatment.
Participants may experience emotions, memories, sensations, or other personal responses during body-awareness practices. Participants are always welcome to pause, modify, decline, or discontinue an exercise. If significant psychological distress arises, we may recommend seeking support from a qualified mental health professional.
Thai Bodywork & Assisted Stretching
Thai bodywork may include assisted stretching, compression, positioning, movement, and other hands-on wellness techniques.
These services are intended to support relaxation, mobility, body awareness, and general well-being. Unless specifically stated and provided by an appropriately licensed healthcare professional, Thai bodywork services offered through Wise Owl Wellness are not represented as medical treatment, physical therapy, chiropractic care, or treatment of a diagnosed condition.
Practitioners do not diagnose injuries or diseases through touch. If pain, injury, or another condition appears to require medical assessment, the participant may be referred to an appropriate healthcare professional before continuing.
Energy-Based Practices
Wise Owl Wellness may offer energy-based wellness practices intended to support relaxation, mindfulness, personal reflection, and subjective well-being. These practices are considered complementary wellness services. They are not represented as scientifically established methods for diagnosing, curing, preventing, or treating disease. Energy-based services should not replace appropriate medical or mental health evaluation or treatment. Participants are encouraged to approach these practices according to their own beliefs, experiences, and comfort level.
Meditation, Mindfulness & Breathwork
Meditation, mindfulness, Yoga Nidra, and breath practices may support relaxation, self-awareness, focus, and stress management.
They are not substitutes for psychotherapy, psychiatric treatment, medical treatment, or crisis intervention. Certain breathing, meditation, or mindfulness practices may not be appropriate for every participant. Participants should communicate relevant health concerns and may stop or modify any practice at any time.
Sound-Based Wellness Practices
Sound baths, singing bowls, instruments, vibration-based relaxation practices, and similar offerings are provided as wellness and relaxation experiences.

- Medical evaluation may be warranted before continuing.
- The requested service would require a professional license or qualification the provider does not possess.
- Continuing would conflict with professional, ethical, or safety standards.
Participant Acknowledgment
By participating in a Wise Owl Wellness class, private session, workshop, training, event, or other offering, you acknowledge and understand that:
- Wise Owl Wellness primarily provides wellness, educational, movement, mindfulness, bodywork, and complementary services.
- These services are not substitutes for appropriate medical or mental health care.

Wise Owl Wellness
Revised August 2026
Training, Attendance & Certification Policy
Wise Owl Wellness is committed to providing professional, ethical, safe, and high-quality training programs. A certification represents more than attendance or payment for a course. It indicates that a participant has completed the required education and has demonstrated the knowledge, skills, professionalism, and competencies established for that program. For that reason, registration, payment, attendance, or completion of a training does not automatically guarantee certification. Certification is earned by successfully meeting the requirements of the individual training program and the standards outlined in this policy.
Training Requirements
Each Wise Owl Wellness training or certification program may have specific requirements based on the subject matter, number of instructional hours, and skills being taught.
Requirements may include:
Attendance Requirements
Attendance Is Part of Certification. Training hours are an essential component of Wise Owl Wellness certification programs.
Participants are expected to attend all scheduled instructional hours unless otherwise stated in the individual training description.
Arriving late, leaving early, or missing portions of a training may reduce the number of instructional hours credited toward certification. Paying for a training does not constitute completion of the training hours. Likewise, receiving course materials, watching selected recordings, or attending only part of a program does not automatically satisfy attendance requirements.
Missing Training Hours
We understand that illness, emergencies, family responsibilities, transportation problems, and other unexpected circumstances can occur. If you know that you will miss training time, please communicate with the instructor as soon as possible.
Missing hours does not necessarily mean that you cannot complete the certification. However, all required hours must be completed or appropriately made up before certification may be issued, unless Wise Owl Wellness determines that the missed material does not affect the requirements of that particular program. Participants should not assume that an absence is automatically excused or that make-up instruction will automatically be available.
Make-Up Hours
When appropriate and reasonably available, Wise Owl Wellness may provide an opportunity to make up missed training hours.
Make-up options may include:
Excessive Absences
If a participant misses a significant portion of a training, Wise Owl Wellness may determine that individual make-up hours are not sufficient to recreate the educational experience.
In these circumstances, the participant may be required to:
Competency & Assessment
Attendance is important, but attendance alone does not demonstrate competency. Depending on the training, participants may be expected to demonstrate competency in areas such as:
Practical Assessments
Hands-on and movement-based trainings may require participants to demonstrate techniques for an instructor before certification is issued. During an assessment, instructors may evaluate:
Needing additional practice is not considered a failure. The purpose of assessment is to ensure that participants can apply what they have learned safely and responsibly.
Assignments & Course Requirements
When assignments, practice logs, quizzes, reflections, case studies, practicum hours, or other coursework are required, they are considered part of the certification program. Certification may be delayed until all required coursework has been satisfactorily completed. Submitting incomplete work solely for the purpose of meeting a deadline does not necessarily satisfy a course requirement.
Safety & Professional Conduct
Participants must follow all safety instructions provided during training. This is particularly important during hands-on, movement, bodywork, stretching, somatic, and partner-based trainings.
Participants must:
Professional Conduct
Participants are expected to follow the Wise Owl Wellness Code of Conduct & Respectful Behavior Policy throughout their training.
Certification may be delayed, withheld, or denied when a participant demonstrates serious or repeated conduct inconsistent with the professional standards of the program.
Examples may include:
Payment Requirements
Training Tuition Must Be Paid in Full. A deposit may be required to reserve a participant's place in a Wise Owl Wellness training.
Deposits are non-refundable.
When a payment plan is offered, the remaining tuition will be divided according to the payment agreement.
For new payment plans, the entire training balance must be paid in full no later than the first day of training.
Participants with previously established payment arrangements that remain current and in good standing should continue making payments according to their original agreements. Failure to fulfill financial obligations may result in certification being withheld.
Certification & Outstanding Balances
Wise Owl Wellness may withhold certification when tuition, make-up fees, or other required training-related financial obligations remain unpaid. Completion of the instructional portion of a program does not eliminate the participant's responsibility to pay the agreed-upon tuition. A participant who has received the education and completed the training remains responsible for satisfying their financial agreement. Certification may be issued once all educational, competency, conduct, attendance, and financial requirements have been satisfied.
Certification Standards
Completing the Course Does Not Automatically Guarantee Certification. Wise Owl Wellness distinguishes between attending a training and earning a certification. Registration does not guarantee certification. Payment does not guarantee certification.
Attendance alone does not guarantee certification. A participant must satisfactorily complete the requirements established for the particular program. Certification indicates that, at the time the certificate was issued, Wise Owl Wellness determined that the participant had satisfied the applicable training requirements.
Reasons Certification May Be Delayed
Certification may be delayed when a participant has:
Right to Withhold Certification
Wise Owl Wellness reserves the right to withhold certification when a participant has not satisfactorily met the requirements of the program. Certification may be withheld because of:
Opportunity for Remediation
When appropriate, a participant who has not yet demonstrated a required competency may be given an opportunity to complete additional practice or instruction. Remediation may include:
Dismissal From a Training
Wise Owl Wellness reserves the right to dismiss a participant from a training when continued participation creates a significant safety concern or when serious misconduct occurs. Grounds for dismissal may include serious harassment, violence, threats, sexual misconduct, intentional boundary violations, dangerous behavior, deliberate disregard of safety instructions, or significant disruption of the learning environment. No Refund eligibility following dismissal. Dismissal may result in the participant being ineligible for certification.
Certificates & Professional Representation
A Wise Owl Wellness certificate confirms successful completion of the specific educational program identified on the certificate.
Unless explicitly stated otherwise, a Wise Owl Wellness certification does not constitute a state-issued professional license, healthcare license, or authorization to practice a regulated profession. Participants are responsible for understanding the laws, regulations, insurance requirements, employer requirements, and professional scope-of-practice rules applicable to where and how they intend to use their training.
Continuing Education Certificates
When a program qualifies for continuing education hours through a professional organization, participants are responsible for satisfying the attendance and completion requirements associated with those hours. Wise Owl Wellness will not certify hours that were not actually completed or otherwise satisfied through an approved make-up process.
Participant Responsibility
By enrolling in a Wise Owl Wellness training, you accept responsibility for:
Our Responsibility as an Educator
Wise Owl Wellness also accepts responsibility for maintaining appropriate educational and professional standards.
We commit to:
Acknowledgment
By enrolling in a Wise Owl Wellness training or certification program, participants acknowledge and agree that:
Enrollment is not certification. Payment is not certification. Attendance alone is not certification.
Certification is earned by completing the required instructional hours, coursework, assessments, competency requirements, professional conduct expectations, and applicable financial obligations established for the program.
Wise Owl Wellness reserves the right to delay or withhold certification until these requirements have been satisfactorily fulfilled.

Revised August 2026
Payment Plan Policy Update
Effective immediately, Wise Owl Wellness is updating our payment plan policy for all trainings and certification programs.
Moving forward, payment plans will no longer extend beyond the start date of a training.
For those who choose a payment plan, a deposit will be required to reserve your space. The remaining balance will then be divided into equal payments according to the agreed-upon payment schedule. All balances must be paid in full no later than the first day of the training.
A Note for Participants Currently on Payment PlansIf your current payment plan is up to date and you have been making your payments as agreed, please continue making your payments according to our original agreement. This new policy does not change the terms of existing payment plans that are current and in good standing.
We sincerely appreciate those of you who have consistently honored your payment agreements. No action or change is required from you—simply continue making your scheduled payments as originally arranged.
If your current payment plan is past due, however, please contact Wise Owl Wellness as soon as possible to discuss your outstanding balance and make arrangements to bring your account current.
Why We Are Making This ChangeWe have always tried to make our trainings as financially accessible as possible by offering flexible payment options. Unfortunately, we have experienced an increasing number of situations in which participants have fallen one, two, and even three months behind on their agreed-upon payments. In some cases, individuals have attended trainings, completed their programs, received their certifications, and then failed to fulfill their remaining financial obligation.
I fully understand that life happens. Unexpected expenses, changes in employment, family circumstances, and other challenges can affect anyone. When circumstances change, communication matters. A simple conversation can often lead to an adjusted payment date or reasonable extension when needed.
What we cannot continue to accommodate is a lack of communication combined with unpaid balances after services, training, and certification have already been provided.
Wise Owl Wellness invests significant time, energy, preparation, materials, and professional expertise into every training we offer. Just as we are committed to honoring what we promise to our students, we ask our students to honor the financial commitments they make when registering.
Effective Immediately All new training payment plans will follow these guidelines:
To our participants who are current on their existing payment plans: thank you. Please continue making your payments according to your original agreement.
We deeply appreciate everyone who honors their commitments, communicates when circumstances change, and respects the time and work that go into creating these educational experiences.
Thank you for your understanding and for helping us maintain a professional, respectful, and mutually accountable learning community.

Effective Immediately All new training payment plans will follow these guidelines:
- A deposit is required to secure your place in the training.
- The remaining balance will be divided into equal payments.
- Payments must be made according to the agreed-upon schedule.
- The entire training balance must be paid in full by the first day of training.
- Payment plans will not extend beyond the dates of the training.
- Anyone experiencing an unexpected financial hardship is encouraged to communicate with us before a payment becomes significantly past due so we can determine whether a reasonable accommodation can be made.

Revised August 2026
Cancellation, No-Show & Late Arrival Policies
At Wise Owl Wellness, we value your time and ask that you also respect the time, preparation, and commitment of our instructors, practitioners, and facilitators. Many of our offerings have limited capacity, and reserving a space may prevent someone else from participating.
The following policies apply to appointments, private sessions, classes, workshops, trainings, and special events unless otherwise stated at registration.
Cancellations
We understand that plans change and unexpected circumstances arise. When possible, please provide at least 24 hours' notice if you need to cancel an appointment, class, or other scheduled service.
For workshops, trainings, certification programs, and special events, cancellation and refund terms may vary based on the offering. Any specific terms provided during registration will take precedence over this general policy.
Cancellations made at least 24 hours in advance:
No-Shows
A no-show occurs when you have reserved a space or appointment and do not attend without providing notice.
Because your time has been specifically reserved for you:
Late Arrivals
Please plan to arrive 5–10 minutes before the scheduled start time whenever possible. This allows you time to settle in without disrupting your experience or the experience of others.
For private appointments and one-on-one sessions:
If you arrive late, your session will generally still end at the originally scheduled time. The full session fee will apply.
Extending the appointment may not be possible because another client or commitment may immediately follow your scheduled time.
For group classes, workshops, and events:
Late entry is permitted only when it can be done safely and without significantly disrupting the group.
For certain practices—including meditation, sound healing, restorative practices, trainings, ceremonies, or experiences where the doors may be closed after the program begins—late entry may not be possible.
If you arrive too late to safely or appropriately join the offering, your absence may be treated as a late cancellation or no-show, and a refund or credit will not be issued.
Trainings & Certification Programs
Trainings require a significant commitment from both the participant and Wise Owl Wellness.
Once a training has begun:
Communication Matters
We understand that life happens. Illness, family emergencies, transportation issues, unexpected work obligations, and other circumstances can interfere with even the best-laid plans.
When something happens, please communicate with us.
There is an important difference between an unexpected circumstance that is communicated promptly and repeatedly missing appointments, classes, payments, or commitments without communication.
We will always strive to approach individual circumstances with compassion while maintaining boundaries that are fair to our instructors, practitioners, other participants, and our business.
Our Commitment to You
These policies are not intended to be punitive. They allow Wise Owl Wellness to maintain small class sizes, fairly compensate instructors and practitioners, prepare appropriately for trainings and events, and continue providing high-quality experiences.
By scheduling an appointment or registering for a class, workshop, event, or training with Wise Owl Wellness, you acknowledge and agree to the cancellation, no-show, and late-arrival policies applicable to your reservation.
Thank you for respecting our time, our teachers, our practitioners, and your fellow participants.

Wise Owl Wellness
Revised August 2026
Minimum Enrollment, Weather & Emergency Closure Policy
Wise Owl Wellness puts considerable time, preparation, planning, and resources into every class, workshop, event, training, and special offering we provide. At the same time, some offerings require a minimum number of registered participants to make the experience practical and sustainable. Unexpected circumstances such as severe weather, unsafe travel conditions, power outages, facility problems, instructor emergencies, or other events outside our control may also occasionally require us to modify or cancel an offering. This policy explains when Wise Owl Wellness may cancel an offering, how participants will be notified, and what happens to payments when Wise Owl Wellness initiates the cancellation.
Minimum Enrollment Requirements
Unless otherwise stated for a specific offering, Wise Owl Wellness requires a minimum of three registered participants for a regularly scheduled class, workshop, or event to proceed. Certain trainings, specialty workshops, retreats, or collaborative events may have different minimum enrollment requirements. When applicable, those requirements will be communicated in the registration information. Registration means that the participant has completed the required registration process and, when applicable, submitted the required payment or deposit. Expressing interest, responding to a social media event, or verbally indicating an intention to attend does not constitute confirmed registration.
Advance Registration
Advance registration helps Wise Owl Wellness determine whether sufficient enrollment exists for an offering to proceed.
Unless otherwise stated, participants are encouraged to register at least three days before the scheduled offering.
When minimum enrollment has not been reached by the applicable registration deadline, Wise Owl Wellness reserves the right to cancel or reschedule the offering. Waiting until the day of an event to register may mean that an offering has already been canceled due to insufficient enrollment.
Cancellation Due to Low Enrollment
When an offering does not meet its minimum enrollment requirement, Wise Owl Wellness may:
When Wise Owl Wellness Cancels
If Wise Owl Wellness cancels an offering, participants will not lose the amount they paid for that canceled service.
Depending on the circumstances, participants may be offered one or more of the following options:
Deposits
When Wise Owl Wellness CancelsWise Owl Wellness deposits are generally non-refundable when the participant chooses to cancel or withdraw from an offering. However, if Wise Owl Wellness cancels the entire training, workshop, or event and does not provide a reasonable rescheduled option that the participant accepts, payments made toward that canceled offering, including the deposit, may be refunded.
This distinction is important:
Participant cancellation: applicable cancellation and refund policies apply.
Wise Owl Wellness cancellation: participants will not be required to forfeit payment for a service Wise Owl Wellness did not provide.
Weather & Unsafe Travel Conditions
Arizona weather can vary significantly by location and season. Monsoon storms, flash flooding, wildfire conditions, snow, ice, extreme heat, road closures, and other weather-related circumstances may affect the safety of an in-person offering.
Wise Owl Wellness reserves the right to cancel, delay, relocate, modify, or move an offering online when weather or travel conditions create a reasonable safety concern.
The decision may consider:
Weather Conditions May Differ by Location
Because Wise Owl Wellness offerings may occur in different locations or at partner locations, weather conditions affecting the event location may differ from conditions where an individual participant lives.
Wise Owl Wellness will make cancellation decisions based primarily on conditions affecting:
A decision by Wise Owl Wellness to proceed with an offering does not mean that every participant should travel if conditions are unsafe where they are located.
Participant Weather-Related Cancellations
If an offering remains scheduled but a participant determines that traveling would be unsafe because of severe weather or hazardous road conditions affecting them, the participant should contact Wise Owl Wellness as soon as possible.
Depending on the circumstances and type of offering, Wise Owl Wellness may offer:
We do not expect anyone to risk unsafe travel simply to avoid losing a class or session payment.
Power Outages & Facility Problems
Occasionally, circumstances affecting a facility may prevent an offering from proceeding safely or appropriately.
Examples include:
Instructor Illness or Emergency
An offering may occasionally need to be canceled because of instructor illness, injury, family emergency, transportation emergency, or another unexpected circumstance. When possible, Wise Owl Wellness may arrange for a qualified substitute instructor.
If an appropriate substitute is unavailable, the offering may be rescheduled or canceled.
Participants will be notified as soon as reasonably possible.
Emergency Closures
Wise Owl Wellness may cancel or close an offering because of circumstances including:
In these situations, Wise Owl Wellness will communicate information as quickly as reasonably possible.
Moving an Offering Online
When appropriate, an in-person class, workshop, lecture, or training may be moved to Zoom or another online format instead of being canceled. Whether an online substitution is appropriate will depend on the nature of the offering.
For example, some lectures, yoga classes, meditation practices, discussions, and educational sessions may transition successfully online. Hands-on training, partner practice, certain assessments, or services requiring specialized equipment may need to be rescheduled instead. Participants will be notified if the delivery format changes.
How Participants Will Be Notified
When an offering is canceled, delayed, relocated, or moved online, Wise Owl Wellness will make reasonable efforts to contact registered participants using the contact information provided during registration.
Notification may occur through:
Last-Minute Cancellations
We will provide as much notice as circumstances reasonably allow. However, emergencies do not always provide advance notice.
A power outage, sudden instructor illness, severe storm, wildfire condition, facility problem, road closure, or other emergency may require cancellation shortly before an offering begins. A last-minute cancellation does not change a participant's eligibility for the appropriate refund, credit, transfer, or rescheduling option when Wise Owl Wellness initiates the cancellation.
Multi-Session Series & Trainings
If one meeting of a multi-session series or training must be canceled by Wise Owl Wellness, we will generally attempt to reschedule or replace the missed instructional session rather than cancel the entire program.
Depending on the program, replacement may include:
Retreats, Special Events & Third-Party Venues
Offerings involving retreat centers, hotels, rented venues, guest instructors, travel, catering, or other third-party providers may be subject to additional cancellation terms. These terms will be communicated when applicable.
Wise Owl Wellness cannot guarantee reimbursement of expenses participants independently incur for:
Circumstances Beyond Our Control
Certain extraordinary circumstances may prevent Wise Owl Wellness from delivering an offering as originally planned.
When this occurs, our first goal will generally be to provide a reasonable alternative, such as rescheduling, relocation, replacement instruction, or an appropriate online option. If the service cannot reasonably be provided, Wise Owl Wellness will determine the appropriate refund or credit for the portion of the service that was not delivered, consistent with applicable law and the circumstances.
Communication Matters
If you are uncertain whether a class, workshop, training, or event is proceeding because of weather or another emergency, please check your email, text messages, or other Wise Owl Wellness communications before traveling. Please also communicate with us when circumstances affect your ability to attend. A quick conversation often allows us to find a reasonable solution.
Participant Acknowledgment
By registering for a Wise Owl Wellness class, workshop, event, series, training, or other offering, participants acknowledge that:
At the same time, we will not compromise safety simply to keep something on the calendar. Our goal is to communicate clearly, make fair decisions, and ensure that when circumstances change, our participants are treated respectfully.

Photography, Video & Audio Recording
Participation in a Wise Owl Wellness offering does not automatically constitute consent to be photographed, filmed, or recorded.
When Wise Owl Wellness intends to capture identifiable photographs, video, or audio for marketing, educational, promotional, or other purposes, participants will be informed and permission will be obtained when appropriate. Participants may decline photography or recording without being excluded from the underlying service whenever reasonably possible.
Consent to photography is separate from consent to video or audio recording.

☐ Photography
☐ Video recording
☐ Audio recording
☐ Use on Wise Owl Wellness social media
☐ Use on the Wise Owl Wellness website
☐ Use in promotional materials
☐ Use for educational purposes
Participants may ask questions about the intended use before providing consent. When feasible, a participant who does not wish to appear in photographs or recordings will be positioned outside the recording area.
Minors & Recording
Identifiable photographs, video, or audio recordings of minors require appropriate permission from a parent or legal guardian.
Wise Owl Wellness will also respect the minor's wishes. A parent or guardian's permission does not mean that a minor must participate in photography or recording when the minor does not wish to do so.

- The instructor.
- A demonstration partner.

- Personal notes, assignments, or materials belonging to someone else.
Participants who do not wish to be photographed must be respected.

Wise Owl Wellness Recordings
Wise Owl Wellness may occasionally record an online or in-person class, workshop, lecture, demonstration, or training for educational purposes. Participants will be informed when a session is being intentionally recorded.
When possible, recordings will focus primarily on the instructor and instructional content rather than individual participants.

- Supervised practice.
Technology Problems
Participants are responsible for having reasonable access to the technology necessary for online participation, including a compatible device and internet connection. Information learned about a practice partner should be used only as necessary for safe participation and learning.
Training with someone does not give you permission to discuss their personal information outside the educational setting.
